Teaching Assistant

Key Accountabilities:

    • Work with fellow teachers/homeroom teachers to build and understanding of the class schedule, number of students, and characteristics of each class;
    • Assist teachers with lesson preparation by preparing materials classroom teaching aids;
    • Edit lesson materials with students (individually or in small groups);
    • Helps ensure a safe and clean classroom environment;
    • Supervise students during class time and school time, during field trips and  after-school activities;
    • Collaborate with teachers to recognise problems students face, offer suggestions and help implement solutions;
    • Correct student homework and work with students as needed (eg foreign languages, aptitude);
    • Being the conduit between teachers and students/parents, especially Vietnamese parents;
    • Record student progress for use when informing parents;
    • Comply with school and classroom rules and regulations.
 
Qualifications and Skills
    • Degree qualified in a field relevant to the role and studied in English;
    • Proficient in the English language in the following areas; listening, speaking, reading and writing;
    • A background in Maths/Science at middle school level an advantage;
    • Experience working with high school age students;
    • Experienced in supporting students who are second language learners (not only Vietnamese students but also French and Korean students studying in an international high school programme);
    • Pedagogical skills with an understanding of classroom activities and teaching methods;
    • Presentation ability, explanation and patience;
    • Work organisation and time management skills;
    • A love for the educational environment;

Marketing Coordinator

Department/Sector: Administration Team
Reporting to: Admissions and Marketing Manager, Head of Administration

Role purpose:
Provide marketing and communications assistance to the School Executive, Head of Administration and Marketing/Sales/Admissions Department on all promotional, marketing and communications needs across the Hoi An International School.
 
Key Accountabilities:
    • Be responsible for all marketing project assignments, including establishing parameters (i.e. materials, costs, production schedule and the like), developing ideas and design comprehensives and producing final products consistent with the initially supplied information;
    • Maintain and provide timely updates to web content for social media accounts and the School’s website by coordinating with the School’s photographer and writing text for all engagement strategies highlighting school life and services;
    • Write HAIS Life headlines, yearbook articles and other various writing projects;
    • Review all published written work for accuracy, spelling, punctuation, grammar, consistency, format, spacing and overall visual appeal;
    • Perform other duties as assigned, such as participation in events, committees, staff meetings and on-campus duties;
    • Plan for, participate in and assist in executing staff meetings with school leads and colleagues to meet optimum marking potential;
    • Regularly conduct market research on technology, marketing, communication and brand strategies to stay current on social media trends and technology needs and ensure marketing efforts are meeting industry standards;
    • Maintain bulletin boards and ensure that signage is up to date across the campus;
    • Facilitate periodic communication with school leads and any parent-teacher associations to determine their marketing needs and monitor overall progress;
    • Attend and represent the school at tabling and promotional events, on and off-campus as needed (this may include weekend events);
    • Assist in establishing and maintaining professional relationships with both off-campus vendors and partners;
    • Establish and maintain a Social Media footprint through appropriate channels;
    • Actively engage the school community through social channels, such as LinkedIn,
    • Facebook, Instagram, Youtube, Weibo, WeChat, KakaoTalk, etc.;
    • Assists with special campus events and civic engagement programmes;
    • Assist in the responsibility for the inventory and maintenance of marketing-related equipment and technology;
    • Assist with the development and implementation of evaluations such as focus groups, online surveys and forum surveys of major school functions and initiatives; and
    • Other duties as assigned by the Head of Administration.

Essential Requirements:
    • Minimum bachelor’s degree from an accredited college or university;

    • Experience with marketing and business technology, namely GSuite, Microsoft Office, Facebook, Twitter, LinkedIn and design software sites such as Canva, Adobe Photoshop, Google Drive, Mailchimp and SlimeVN.
Desirable:
    • Experience working in an international school environment; and
    • Fluent in a third language (preferably Korean or Mandarin).

Location: Hoi An International School, Hoi An, Quang Nam, Vietnam
 
Role purpose:

This role supports and assists both the HR Coordinator and Head of Administration in the delivery of their responsibilities. The HR Coordinator and Head of Administration serve as the Principal’s leads in the delivery of HR related matters across the school and in this capacity they require support in providing the direction of the human resources function and operations across international and national employment. This position will assist in human resource management related functions including recruitment, onboarding, orientation, employee immigration, employee benefits, performance management, employee relations and training and development.

Duties and Responsibilities:

General Duties:

    • Assist in the completion of a broad variety of HR & Administrative tasks;
    • Support the HR Team with the completion of documents, reports and presentations;
    • As required, attend Leadership Meetings and record minutes and set agendas accordingly;
    • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the school;
    • General ad hoc duties.

Recruitment, Selection and Engagement:

    • Assist in the recruitment cycle, including advertising, shortlisting, interview scheduling and the administration of applicant tracking systems;
    • Assist in the maintenance and updating of accurate position descriptions for advertised positions based on staffing needs;
    • Monitor the school employment inbox, canvassing respective candidates, creating reply emails and collating interests according to school recruitment needs;
    • Assist in the employee onboarding process including tracking and obtaining relevant documentation such as identity cards, passports, qualifications and relevant licences;
    • Support other team members in the application of business visas, work permits and temporary residence status for international engagements;
    • Liaise with international employee landlords for the confirmation of residence status for the completion of Vietnamese Police Checks and other compliance obligations and confirmation of residence status, as required;
    • Liaise with medical authorities, book international staff medicals and escort international staff to appointments in order to ensure smooth process, including translation as required;
    • Support other Team Members in the provision of insurance coverage for international engagements and as required for family members, this includes the cancellation of existing insurance arrangements for finishing employees.

Training and Development / Performance Management:

    • Assist in the  onboarding and offboarding (exiting) of staff;
    • Be actively involved in the orientation of new employees and assist as required;
    • Download and collate monthly reports via the school’s online training platform and provide status updates to members of the LeadershipTteam;
    • Assist in the coordination of the HAIS Continuing Professional Development (CDP) Programme for international teaching staff.

Compliance:

    • Ensure familiarity with the structure and application of school administration and HR policies and systems that provide for the effective operation of the school;
    • Track international employee leave entitlements for both teaching and non-teaching staff and track leave management records;
    • Collate and report on international employee attendance records, assist in adding and removing employees from the inhouse fingerprint biometric system;
    • Maintain personnel files consistent with local government, labour, immigration and education department requirements;
    • Ensure compliance with equal employment and equity principles and fair practice throughout human resource management policies, practices and principles;
    • Assist other Team Members in the collation of documentation necessary for reporting to Vietnamese government authorities;
    • As a member of the HR Team assist with advice and completion of monthly payroll and support HR and Finance team members as required.

HR Policy, Procedures, Practice and Law:

    • Maintain a working knowledge of administration and HR policies;
    • Liaise with other Team Members toward building a complex level of knowledge around Vietnamese Labor Law and HR industry practice and principles as they apply;
    • Support the Leadership Team in the management of Health & Safety compliance and response as required.

    • Support the school’s pastoral programme and support systems designed for greater student wellbeing;
    • Ensure an inclusive environment for students and the greater school;
    • Foster positive relationships and attitudes towards all students, parents and colleagues across the school;
